Who it’s for

A business address for the work you do

Whether you work alone or with a team, an address on your domain helps customers recognise your business.

Small businesses

An address on your own domain helps customers recognise your business in every conversation.

Startups

Choose a consistent format for team email addresses now, so new colleagues can follow it as you grow.

Freelancers

Keep client conversations separate from personal email and present a professional contact address.

Agencies

Help clients reach the right person. Start by deciding who handles each enquiry and which addresses your team needs.

Online stores

Give customers a familiar address for order questions. If your store sends automated emails, ask about those requirements separately.

Growing teams

Decide when to use a person’s name and when an address such as sales or support makes more sense for your team.

Getting started

Plan your move to domain email

Start with the addresses you need. Agree the service and pricing before changing your current email setup.

Your email setup

Start with what your team needs

An address customers recognise

An email address on your domain keeps your business name visible when you reply to customers.

A clear email structure

Choose clear names for people, departments and shared points of contact.

Mailbox planning

Count the people who need a mailbox and decide who should handle changes when someone joins or leaves.

Domain setup guidance

Understand which domain records direct your email before changing your current setup.

A service that fits your needs

Tell us how your team uses email, from storage needs to the apps on their phones and computers.

Direct company contact

Have a question about your setup? Contact the company by email, phone or the enquiry form.

Email service scope

Explore your business email requirements

The options below are proposed, not active services on this website. Ask about hosting, webmail, forwarding and sending from an app, including which of the listed protocols would be supported.

IMAPSMTPPOP3JMAPCalDAVCardDAVWebDAV
Proposed

Custom domain email

A proposed option for email addresses on your business domain, helping customers recognise who they’re hearing from. Before setup, confirm that you control the domain, that a provider is available and which DNS records it needs.

Proposed

Mailbox management

A proposed way to give each team member a business mailbox and manage changes as your team grows. Ask who can add or remove mailboxes, how administrator access works and how much storage is included. These details are not yet confirmed.

Proposed

Aliases and forwarding

Proposed options for extra address names and forwarding messages to the right mailbox. Check how many aliases are supported, where messages can be forwarded and which addresses need their own mailbox.

Proposed

Webmail access

A proposed option for checking business email in a browser, without a separate email app. There is no webmail inbox on this website. Ask which provider would offer access and where you would sign in.

Proposed

Spam and account protection

Proposed spam filtering and account controls to help protect your business email. Ask about filtering, encryption, recovery and two-factor authentication. These controls are not confirmed, and no security certification is claimed.

Enquire

Email configuration assistance

Need help connecting a domain or email app? Tell us about your current setup. Share your DNS host, current email provider and devices. The company must agree what assistance it can provide.

Proposed

SMTP and developer use

A proposed option for sending email from your website or business application. Before connecting an app, check SMTP relay availability, sign-in requirements, sending limits and permitted uses.

Proposed

Team email management

Proposed options for organising team access to personal and department email addresses. Shared mailboxes, permissions and collaboration tools still need to be confirmed and implemented.

Enquire

Domain and DNS guidance

Understand how domain records direct messages and help receiving servers check who sent them. Read the setup notes, then ask your provider for the values your domain needs. This website does not change your DNS.

How it works

Three steps to getting started

01

Tell us about your domain

Share the domain you own or want to use, along with your current email provider. We can then discuss availability and what setup would involve.

02

Plan your email service

Decide on addresses, storage, access and pricing before changing anything. This website takes enquiries; it does not create mailboxes.

03

Configure and start communicating

After the service is agreed, follow your provider’s domain and mailbox instructions. Check that you can send and receive messages before switching over.

Plan before you switch

Know what your team needs

List your current addresses, devices and stored messages before agreeing to a hosting service or a move to a new provider.

  • Domain names
  • Mailbox count
  • Storage needs
  • Device access
  • Role addresses
  • Migration scope
  • DNS access
  • Support needs

Your requirements

Plan for the people using your email

Tell us who needs access, how much email you store and which devices you use. Those details help us discuss what is available and what still needs work.

Understand your email setup

These notes explain how domain records and careful account use help with email. They are general guidance, not a live monitoring service.

MX records

MX records direct incoming email to your provider. Use the values supplied for your domain, not settings copied from another service.

SPF

SPF lists the servers allowed to send email for your domain. Check which services already send on your behalf before editing it.

DKIM

DKIM signs outgoing messages so receiving servers can check their origin. Your provider supplies the selector and public key needed for setup.

DMARC

DMARC tells receiving servers what to do when a message fails your domain’s identity checks. Make sure legitimate mail passes those checks before choosing a strict policy.

Account protection

Use strong, unique passwords and ask which access controls are available with the confirmed service.

Responsible sending

Send messages that are relevant to the people receiving them. Domain checks help establish who sent a message, but they do not guarantee it will reach the inbox.

Before you choose

Know what you’re agreeing to

Security information

Ask who will host your email and how messages and account access will be protected.

Privacy questions

Find out where your messages and personal information would be stored, who could access them and how deletion would work.

Team access

Decide who should manage mailboxes and ask which permissions the provider supports.

Service commitments

Ask for written details of availability, backups and what happens if you need to recover data.

Support arrangements

Reach the company by email or phone. Agree support coverage, hours and response times before choosing a service.

Hosting locations

Ask where your data would be hosted and how it would be protected if transferred elsewhere.

Integrations

Keep your current tools in mind

FAQ

Questions, answered

It lets you send, receive and store messages using an address on your own domain instead of a personal email address. You need both a domain and an email service; they are separate parts of the setup.

Email on your own domain is what we’re planning for. Share your domain and current provider so we can discuss availability and setup before you commit.

Choose a name on a domain you control, then arrange an email service and add the domain records it requires. You can ask us about the setup here, but this website does not create domains or mailboxes.

Your confirmed email provider supplies the MX, SPF, DKIM and any DMARC guidance for your domain. Add those values at your DNS host, review existing records and test the result. Do not use another provider's settings.

That depends on your email provider and the app you use. Tell us which phones, computers and apps your team relies on so compatibility can be checked. This website does not provide a mobile app or webmail.

Your email provider usually supplies the tools to add addresses and manage access and storage. Mail Trio Cloud’s mailbox management, aliases, forwarding and team controls are still proposed, so ask what is available before relying on them.

You can send setup or support questions to abdul@mailtrio.cloud or call +91 8291719149. Service support coverage, hours and response commitments must be confirmed with the company.
